    Job Summary

    Assist with the management of the payroll system for Midland College. The Assistant Manager will assist with payroll, reports, benefits, and other duties as assigned by the Director of Human Resources/Payroll.

    Required Qualifications

    Associate’s Degree or equivalent combination of education and closely related experience

    Minimum of two years of directly related experience

    Computer literacy to include proficiency with Microsoft Office Suite, with emphasis on proficiency in Microsoft Excel

    Knowledge of general office equipment to include copier, fax machine, and multi-line telephone

    Excellent communication and interpersonal skills

    Must be a self starter, detail-oriented, and have strong time management and organizational skills

    Must be able to multitask with the ability to meet deadlines

    Strong problem analysis and problem resolution skills

    Ability to maintain confidentiality

    Preferred Qualifications

    Previous Human Resources experience in a similar position

    Knowledge of HRIS software, imaging software, and ADOBE Pro or other form making software

    Essential Functions

    Coordinate and calculate monthly report of hours worked for 1094/1095 reporting

    Establish and maintain employee records, including entering and updating new employee records and updates to wage records, account numbers, title changes, etc.

    Assign groups, subgroups, contract length, accrual information, benefits, positions, etc.

    Add new position and default information into organizational position table

    Assign Texas State (TRS/ORP) position information for all employees

    Assist with TRS/ORP monthly reports, quarterly unemployment report, 941 quarterly tax return, and other payroll reports as needed

    Assist with entering salary information for new fiscal year for full-time employees

    Assist with creation of Memorandum of Appointments and Personnel Status Forms for new fiscal year

    Assist with general office duties including receptionist, telephone communications, and public contact

    Assist Benefits Coordinator with various duties as needed

    Assist with part-time employee paperwork and ID cards as needed

    Send out annual performance evaluations and maintain list of returned/missing evaluations

    Assist with pre-employment background checks and driver records checks as needed

    Assist current and former employees with inquiries regarding retirement withdrawal process

    Prepare faculty/staff catalog updates

    Maintain pending paperwork folder

    Process employment verifications within 48 hours of receipt

    Serve as backup to the Payroll Manager and Secretary to the Director of Human Resources/Payroll

    Other duties as assigned

    Physical Demands

    Must be able to sit or stand for long periods of time

    Must be able to lift or move up to 25 pounds

    Must be able to work extended hours during the beginning of the fiscal year

    Use of manual dexterity

    Repetitive use of a keyboard at a workstation

    Must be able to run errands and deliver paperwork on campus

    Some travel for training may be required

    Min Salary $2,979.17 per month
    Max Salary $3,100.00 per month
    Pay Statement Salary is commensurate with educational qualifications and experience.
